What Exactly Is a Master Key System and How Does It Work in an Office Building?
A master key system is a lock hierarchy. You have one master key at the top that opens every door in the building. Below that, you can create sub-master keys that only open doors within a specific zone or floor. Then individual employees get keys that open just their office, the restroom, and maybe a shared break room.
Think of it like this: say you manage a three-story office building near the Playhouse District. The building owner holds the grand master key. Your property management company gets a master key for all common areas plus tenant suites. Each tenant’s office manager gets a sub-master that opens their suite’s doors — conference rooms, private offices, storage closets. And individual employees get a key that only opens the front door and their own workspace.
No electronics, no batteries, no software. Just precisely cut mechanical keys and pin configurations inside each lock cylinder.
How Many Access Levels Can You Actually Set Up?
For most Pasadena office buildings, we set up 3 to 4 levels. That covers the building owner, property management, tenant management, and individual staff. Technically you can go deeper — five or six levels — but it gets complicated and the lock cylinders become less secure with each added level because of how the pin stacks work.
We recently did a building on South Arroyo Parkway with four levels: building master, floor sub-masters for each of the three floors, suite-level keys for the eight tenants, and individual office keys within each suite. That covered about 60 doors total. It works well and the pinning stays solid.
How Much Does a Master Key System Cost for a Pasadena Office Building?
Pricing depends on the number of doors and levels. For a straightforward office setup with 20–30 doors and 3 access levels, you’re typically looking at $800 to $1,800 for the full installation — that includes rekeying all cylinders, cutting the key sets, and documenting the key chart.
Larger buildings — 50+ doors, multiple tenants, four access levels — can run $2,500 to $5,000+. If your existing hardware is old or mismatched (we see this a lot in older buildings along Green Street and Fair Oaks), you might need some new lock cylinders, which adds to the cost.

Can You Add a Master Key System to Our Existing Locks?
Usually, yes. If your building has standard commercial-grade locks — Schlage, Kwikset, Yale, Best — we can rekey the existing cylinders to work within a master key hierarchy. We don’t have to rip everything out and start fresh.
The exception is if your locks are worn out or if you have a mix of cheap residential-grade hardware. Some of the older office buildings around Old Pasadena and the civic center area still have original hardware from the ’80s. In those cases, we’ll recommend replacing certain cylinders but keeping anything that’s still in good shape. We’re not going to upsell you on hardware you don’t need.
If you’re also considering electronic options, we do — sometimes a hybrid approach makes sense for main entry points while keeping mechanical master keys for interior doors.
What Happens When an Employee Leaves and We Need to Maintain Security?
This is the question we probably get the most. With a properly designed master key system in Pasadena offices, you have options. If you planned ahead during installation, we can set up the system so that one person’s key can be changed without rekeying every lock in the building. We rekey just that one position and issue a new key.
For higher-security situations — like if a disgruntled employee took off with their keys — we can do a section rekey that covers their entire access zone. It’s faster and cheaper than rekeying the whole building.
We keep a key chart on file for every master system we install, so when you call, we already know your building’s layout and can get it handled quickly.
How Long Does the Installation Take?
For a 20–30 door office building, we typically finish in one day. Larger buildings with 50+ doors and multiple access levels might take two days. We schedule the work around your office hours if you want — early morning, after 6pm, or weekends. A lot of our Pasadena commercial clients prefer Saturday installs so there’s zero disruption to their tenants.
The planning and key charting happens before we show up, so the on-site time is all hands-on work. No surprises, no “we need to come back next week for parts.”
